Rewards

To get your Talent Scouts really engaged, you can offer rewards for successful referrals. Here, you can set the different rewards you would like to offer. A reward can be anything from money to vouchers or small presents.

 

Creating a new reward plan

 

Where to find it: Click on your Name (top right) - Account Preferences - Reward Plans

To add a new reward plan, click on the button "+ Add reward plan". In the field "Reward Name" (which is visible for the Talent Scout) you can enter either a non-monetary reward (for example skydiving) or an amount (for example €1,000). The field "Value" is only visible to you as an admin to help you to calculate your costs.

Additionally, this "Internal Value" can also be used as a filter for the feature "Reward Notification for Payroll". Learn more about this feature in our Help Center article "Reward Notification for Payroll".

Choose the first "Date of payment" (first day of employment) by clicking on the small arrow and choosing a date from the list.

In the case you would like to pay out parts of the reward at different times, you can add several rewards under one reward plan with different dates of payment. You can add a new reward plan by clicking on the button "+Add Reward Plan". Enter the "Name" (for example: €500) for the second reward and the "Value". Choose the "Date of payment" (e.g.: 3 months after employment) for the second reward as well.

To reduce the workload for your recruiters, the auto-approval function can be activated for single rewards. When editing or creating a reward plan, there is a column "Auto Approve" next to "Internal Value". If the reward should be automatically approved, simply set the checkmark.

Please note! When updating an existing reward (value field, manual to auto-approval or vice versa), the changes will not affect rewards that are currently due. The changes will be effective for upcoming rewards. 

 

Before you’re done, don’t forget to choose a "Date of payment" by clicking on the small arrow and choosing a date from the list. Finally, click the button "Save Changes" when you’re satisfied with your new reward plan. Existing rewards can be edited ("Edit") or deleted ("Delete") at any time.

 

Changing existing reward plans to "Auto Approval"

 

Where to find it: Click on your Name (top right) - Account Preferences - Reward Plans

To reduce the workload for your recruiters, the auto-approval function can be activated for single rewards.

Click on the button "Edit" next to the reward plan you would like to update.

 

Go to the column "Auto approve" in the reward plan edit mode and activate the checkbox for the reward you want to be approved automatically. Save your changes by clicking on the button "Save changes".

Please note! When updating an existing reward (value field, manual to auto-approval or vice-versa), the changes will not affect rewards that are currently due. The changes will be effective for upcoming rewards. 

 

To revoke the auto-approval, simply remove the checkmark.

If there is more than one reward within a reward plan, you can activate the auto approval for individual rewards too.

Coins as a reward

 

Where to find it: Click on your Name (top right) - Account Preferences - Reward Plans

To reward your Talent Scouts with Employee Referrals coins, you have the option to deposit Employee Referrals coins for rewards instead of money. You can now add coins to existing rewards ("Edit reward") or to new rewards ("+ Add reward plan").

You can choose the date of payment by using the dropdown menu. On the date of payment, the reward will become "Due". 

As soon as the contact person for the job has released the reward under the menu items "Rewards" and "Due", the Talent Scout will receive the coins. The Talent Scout then has the possibility to redeem these coins immediately in the reward shop.

 

Please note! 

Before you can deposit coins in your reward plans, you must activate the item "coin Availability for Rewards Plans" under "Account Settings" - "Reward Shops" - "Settings". 

 

Reward reminder

As soon as a reward is due, we will send you or the responsible recruiter a reward reminder via email with all important information including:

  • Name of the Talent Scout
  • Name of the applicant
  • Amount of the reward
  • The published job

 

The dispatch time of the reward email depends on your reward settings (date of transaction). 

 

Please note!

No email reminder will be sent for auto-approved rewards. 

 

Reward policy

Each participant of your referral program is able to view your reward policy under their settings (Name (top right) - drop-down menu - Reward Policy) to learn more about the terms and conditions of a reward payment.

 

Editing your reward policy

 

Where to find it: Click on your Name (top right) - Account Preferences - Reward Plans - Reward Policy - At the bottom of the page

Click on your name (top right), go to "Account Preferences" and next to "Rewards". Scroll down until you see "Reward Policy".

Before you start editing your Reward Policy, choose the language you would like to start with. Next move to the editor and add your Reward Policy by using "copy" (Ctrl +C) and "paste" (Ctrl + V).
Confirm your changes by on clicking the button "Save changes" at the bottom of this page.

 

Please note! 

To avoid disadvantages for any users, you should offer the Reward Policy in different languages within your Employee Referrals company account. 

 

Editing Tip

When copying texts from Microsoft Word to Employee Referrals, formatting problems may occur. In order to avoid them, please "paste" the copied text into an editor first (eg. from Microsoft) and then "copy" and "paste" the text from the editor to Employee Referrals.
